What’s Happening this Summer for HR and Finance?
June 26, 2019This summer, the IRP HR/Human Capital Management (HCM) and Finance (FIN) teams will be engaging the UBC community in a supervisory organization (led by HR/HCM) and Workday security role data validation process. This data validation work builds on the feedback collected and work done by the HR community earlier this year in naming supervisory organizations and in assigning managers and workers to supervisory organizations.
The validation and mapping activities will occur concurrently to provide an accurate representation of our UBC reporting structures and the appropriate assignment of security role access for Workday HCM and FIN.
How will this be done?
HR and FIN follow similar approaches, which is to use data from HR Management System (HRMS) and Financial Management System (FMS) as a starting point. HR focuses on organizational structure and managers and staff assignments, while Finance focuses on Financial Data Model (FDM) elements, such as cost centers, and authorization levels to initiate, review, and approve financial transactions.
HR/HCM
From late June to September 27, we will be asking for the community’s feedback and assistance to:
- Confirm the supervisory organizations (sup orgs) built in Workday to date which reflect current organizational structures
- Confirm the HR/HCM team has correctly assigned workers to each of the supervisory organizations
- Review and confirm the Workday HCM security roles are mapped accurately to each of your supervisory organizations
- Review and cleanup of new hires/departures information in your sup orgs
Finance
The finance team is engaging senior finance leaders to support and lead their teams to complete the security role mapping in each of their respective faculties/VP portfolios.
When will this be done?
HR/HCM
To move ahead with this work, the HR/HCM team is engaging senior HR leaders to support and lead their teams to complete the data validation in each of their respective faculties/VP portfolios. This work begins on June 24 with a kick off meeting with the Senior HR Network group, followed by:
- June 26: Validation and mapping tool available in HRMS
- June 27 - July 15: HCM support for Senior HR Network to plan and prepare to review data with their HR teams
- July 15 – July 26: Call Ins for those reviewing and validating the data to learn more about using the HRMS tool developed by the IRP HR team
- July 26 – September 27: Community populates validated data using the HRMS tool
- September 27: Deadline to submit reviewed and validated data to HR/HCM team due in the HRMS tool
Finance
Finance Security Role Mapping is taking place with the community between May and August 2019. Updates as required will continue until go-live in 2020.
