Workday Student - What is it comprised of?
Workday Student will be the name of UBC’s renewed, reliable, and secure student information system. In this graphic, the spaceship represents the entire new system and each window represents the different aspects that will make up this system.
Workday Product
First of all, the Workday system, a cloud-based platform, will be the anchor of our new student information system. However, through discovery, we learned that the Workday product does not currently meet all of UBC’s student administrative needs. The other two windows in the spaceship represent the other components that will work with Workday to comprise the entire Workday Student system.
Existing Applications
The middle window represents existing applications UBC currently uses that will work alongside Workday. Existing applications fall under 4 categories: Retrofit, Integrate, No Change, and Sunset.
- Retrofit is when we will make changes to current applications so they will function optimally with Workday. An example is Scientia
- Integrate happens when data needs to flow between the application and Workday. In this case, an interface that links the application and workday will exist. An example is Tuition Waiver
- No Change means there is no technical change, but data changes may be required due to new terminology approved by UBC and used in Workday. An example of this is CWL Authentication Service
- Sunset applications are existing applications at UBC that will be retired. An example is Degree Navigator
Below, a searchable application inventory can be used to find out which category your application may fall under. You will also see the Additional Ecosystem Applications category - these are applications that have been recently added to the existing applications ecosystem.
New Applications or Point Solutions
The bottom window represents new applications or point solutions being built that will integrate with Workday. A point solution is a newly created system that is required when Workday or an existing application does not meet UBC’s requirements. Appian BPMS, the Business Process Management System (BPMS), and the Admissions Solution (ADM) have been selected to integrate with Workday and create a better user experience for UBC’s faculty, staff, and students.
