Terminology Glossary
A
Describes the level of a learning opportunity. See the Academic Level Data Standard for more information.
A report on a student's progress towards satisfying academic requirements for a degree program. Academic Progress Reports will replace Degree Navigator Reports.
Academic requirements will only be updated when changes are required and use May 1 as an effective date associated with an upcoming Winter Session.
Academic Standing will substitute a variety of terms currently existing in SIS, such as Academic Standing, Sessional Standing & Evaluation Decision.
A Workday organization type that represents a school, college, university, or other unit of your institution. These units can recruit prospective students, admit students, offer programs of study or courses, or administer financial aid. Academic units are also used with academic appointments in Workday.
The process by which a student is registered in a course section.
"Add Program of Study" term will be used to label the process "to declare" a minor and/or a secondary pathway, e.g. second major, Major in Biology.
The value used to describe scholarly distinctions (i.e. Dean's List, Dean's Scholar). This will be displayed if a student receives a scholarly distinction.
In current SISC, 'Org Code' is attached to an award for departments to receive budgets and submit budget recommendations. In the future, AwardCloud will use the 'Administering Unit' to drive security permissions for awards, including workflow to receive awards and budget updates. The departments will receive budgets based on the Administering Unit identified, and can set up award application and adjudication processes using the standardized workflows designed.

B
"Bundled" means a program which academic requirements or/and entry requirements are defined by the degree program the student is in and can not be taken independently from this primary program of study, e.g. Minor in Commerce for Bachelor of Arts students would appear as "bundled" with B.A., Major in [Arts Discipline]. Bundled programs of study are minors and co-op programs. The term "bundled" will appear on the students' educational objectives for minors and Co-op programs. This term will also visible to students and staff when they add or change minors and co-op programs.

Change Program of Study term will be used to label two different processes: 1) "to declare" a primary pathway (e.g., a specialization/major/option: BCOM, Option in Accounting) and 2) "to change" a degree program (e.g., BA) and/or a pathway (e.g., BA, Major in History).
Current state at UBC of use of Class Standing is an identification for graduation honours/standing in a program (Class I, Class II, Class P) or Continuation Requirements.
In Workday, Class Standing is an identification of the year level the student is in (e.g. Year 1, Year 2, Year 3, Year 4).
When viewing courses on Workday, sections that are at capacity and do not have a waitlist will be shown as "Closed".
The initial reach-out to continuing graduate students before the start of the next academic term to guide them to resources they need and confirm their attendance. Sometimes referred to as "intention to attend".

This is a new field on a student's academic record in Workday. Declare dates must be entered when adding/changing a POS. It must be entered as the current date when the change is initiated. A student's academic record will freeze if a future date is entered.
Graduation application status.
The process by which a student is unregistered from a course section prior to the Drop Without Record End Date.
The last date to withdraw a student from a course section without a W Standing appearing on their transcript.
E
Conveys UBC's recognition that a program has been successfully completed. Degrees, Diplomas and Certificates are all types of Credentials. See the Educational Credentials Lists for the Okanagan campus and the Vancouver campus.
This is a new field on a student's academic record in Workday. The Expected Completion Date must be entered when adding/changing a POS. Generally, the standard duration of the degree program (i.e. four years for Bachelor of Arts) is used to determine the Expected Completion Date.

Also known as Grading Practice. Guiding practice used to grade a student for a registered course section. This is determined by a combination of academic level, course, academic unit and/or program of study a student is enrolled in.
"Remove Program of Study" term will be used to label the process "to drop" a degree program and/or a pathway.
L
A person engaged in a learning instance relationship and/or learning activity relationship. Both Students and Registrants are types of learners.
The association of a learner to a credit or non-credit Program of Study.
M
The process by which an applicant becomes a learner and is enrolled in a credit Program of Study.
N
The process by which learners are admitted and registered in non-credit learning instances.
O
Course section status that is applied once a course section is published, making it available for student registration.
A period when a student can start to change their registration regardless of their Registration Appointment.
A range of dates that specify when changes in registration can happen after an Registration Window End Date.
The academic unit that assigns requirements and assessments to a Program of Study. This is typically at the faculty or school level. See the Program of Study Data Standard for more information.
P
Unpublished course section status that is automatically applied when a course section is first created.
Graduation application status.
Previous Term: All UBC pathway selections, for example, major, minor, option, and specialization. All UBC pathway terms will appear in the field labelled as Program of Study, which is visible to students and staff. A path of studies that a learner applies to through either an application or registration process and is admitted into, and which leads to a specific outcome or credential following the completion of a number of requirements. See the Program of Study Data Standard for more information.
A unique identifier for a Program of Study. See the Program of Study Code and Name Standard section for more information on the naming convention for Program of Study code.
A classification of a Program of Study used to control functionality, such as registration and application processes. See the Program of Study Data Standard for the full list of Program of Study Type values.
R
Also known as Non-Credit Enrollee, Participant in Non-Credit Programming (Academic Calendar Term). A person studying towards an outcome that does not confer student status. Examples: Extended Learning, Non-credit certificate, etc.
Also known as Enrolment Access Policy. The guiding rule set that is assigned to an academic unit and level that determines the courses a student can register in.
Previous Term: Registration Open Date. The earliest date and time a student can start to change their registration in a course section in an academic period.
Previous term: Registration Credit Limit. Also known as Enrolment Credit Limit Policy, Registration Credit Policy, Registration Credit Limit. The maximum number of credits in which a student can register during the Registration Appointment and Open Registration processes for an academic period.
Administrative process to waive restrictions that prevent a student from registering in a course section. E.g., Overriding time conflicts, unmet eligibility rules, lack of registration access to the course, maximum credit limit, hold.
A range of dates that specify when changes in registration can happen for a Registration Appointment in an academic period.

S
A person who is presently enrolled in a credit program of study or who is designated by resolution of the senate as a student.
Also known as Saved Schedule Worklist. A tentative schedule determined by a student ahead of the registration period, that contains course sections that the student wants to register for in a given academic period.
The association of a student to a credit program of study.
The association of a student enrolled in a credit program of study to a learning instance(s).
T
Staff can provide certain registration restriction overrides within the system to students to enable them to register in courses for which they do not meet eligibility requirements in a self serve fashion.
W
A standing on a student academic record or transcript, indicating that a course section was dropped past the Drop without Record End Date.
The process by which a student is unregistered from a course section after the Drop without Record End Date, and the student will receive a W Standing for the course.
