Community Events

The Integrated Renewal Program – Student (IRP Student) hosts community events across both campuses to help UBC community members increase their understanding of the changes that will come with the launch of Workday Student. As events are scheduled, they are posted here for registration and announced to the community. Presentations and recordings from previous sessions are also available through the link below.

Dates, times, and topics of sessions may change based on demand. Check back regularly for updates.


The Call-in Sessions are targeted community engagements following Workday Student 101. These virtual sessions will provide a deeper dive into the functionality of the new student information system, highlight the different functional areas, and details of changes, and allow participants to ask questions. ​

  • Build functional knowledge of Workday Student
  • Increase your understanding of change impacts to your work

Sessions are created for and open to UBC faculty and staff members only.

We highly encourage attendees of Community Call-in Sessions to watch the pre-recorded Call-in Session Onboarding Video (CWL Protected). This video has been created to accelerate your understanding of the concepts covered, and optimize your experience within the Call-in Sessions.

Overview of Program of Study Structure/Set-up and Statuses

This session will focus on how programs are set up in Workday Student and statuses that may be applied to a student’s program of study.

Admissions & Matriculation

This session will provide background information on the Admissions Solution, high-level changes, and functionality, as well as a demo.

Date: February 21, 2023

Recommended attendees:

  • All staff with admissions responsibilities including those in the Undergraduate Admissions Office, Teacher Education Office, Graduate and Postdoctoral Studies, College of Graduate Studies, and faculties that process their own undergraduate and graduate admissions.
Course Inheritance & Making Course Section Updates

This session will provide an overview of how course sections inherit certain attributes from the course set up. We will cover what types of information can be edited directly on a course section by a course section administrator, versus what information resides in the course definition and cannot be updated by a course section administrator.

Maintain & Create Course Clusters

Activity links in the SISC allow administrators to group course sections together. Similar capabilities exists through Course Section Clusters in Workday Student. This session will go through the process of creating and updating course section clusters in Workday Student. We will show how Course Section Clusters are enforced at registration.

Student Journey Through Registration

This session will review the entire process a student goes through when registering for a course, from building a saved schedule and registering from that schedule, to paying tuition fees.

Graduate Education Session

This session will review a number of processes that will support graduate students and staff in Workday around:

  • Graduate admissions
  • Transfers between the related disciplines
  • Continuing Graduate Student Onboarding
  • Supervisory Committees
  • Tracking non-course milestones
