IRP Survey: Feedback on Administrative Processes

In preparation for the implementation of Workday, the Integrated Renewal Program (IRP) has launched an anonymous survey to select members of the UBC community. The intent of this survey is to gather valuable feedback on the user experience of completing administrative tasks (related to HR and Finance) using current systems and processes.

Over 6,000 UBC faculty, staff and student employees in a variety of faculties, units and administrative roles were randomly selected to participate in the survey, which will run from April 14 to May 1.  

The program team recognizes the great number of demands on the community at this time and as such, to minimize disruption during regular office hours, this survey has been designed to take no more than 3-6 minutes. Feedback and continued support from the UBC community is valued and appreciated as the IRP works toward implementing Workday in November 2020.

Survey content

Six HR and finance administrative processes were selected because of their impact to a broad group of UBC faculty and staff. Feedback on user experience will be focused on these six processes.

  1. Workplace learning (UBC employee required training and elective courses)
  2. Expense reimbursement
  3. Time and absence entry and approval
  4. Internal sales of goods or services from/to another department at UBC
  5. Internal grant report information for Principal Investigators
  6. Information requests for decision makers

Survey cadence and participants

These subsequent surveys will be distributed, post implementation of Workday, to assess changes to user experience using the new system and processes.

  • Spring 2021 as an updated assessment approximately six months after implementation
  • Fall 2021 as an updated assessment approximately one year after implementation
