Recent Updates to the Student Communications Tool
November 15, 2024The Student Communications Tool (SCT) is a new application used by instructors and administrators to email students. The SCT was updated on October 30 to address a reported issue and improve some functionality. As a result of this update, features of the tool have changed as outlined below.
Key Changes
- Emails can now be sent in batches of up to 50,000 recipients (previous limit was 1,000).
- A new validation step was added to immediately inform the sender if their upload was successful, or if any of the intended recipients in their uploaded file do not have a valid Student ID number or are missing an email address in Workday.
- Senders no longer need to cc themselves to receive a copy of the message. Senders will now automatically receive a Sent Confirmation email, which is a copy of the email sent to students with UBC Tags (e.g. Preferred Name) instead of personal information of students.
- The Status column in View Sent Communications now shows "SENT" rather than "RECV" for emails that have been sent to indicate that the email has been sent to the recipients.
Important note: Upload files must use the following order: Last Name, First Name, Student ID.
Tip: To check if a specific student received an email, check View Sent Communications.
This update was done to address a known issue where senders could not review/see the content of sent emails or their subject lines in the View Sent Communications tool tab. This issue will now be prevented in future, and work on restoring this visibility to emails previously sent is ongoing.
