Students now have access to Workday Student!

The following message was sent via email to IRP Student Stakeholders on the morning of May 21, 2024.

I hope this email finds you well. I am writing to inform you about a significant milestone in our journey to renew academic administrative services at UBC.

As of today, all UBC students – both new and continuing – will receive an email notification with details of their access to Workday Student. This marks a crucial step forward in enhancing our student experience and administrative efficiency.

The Student Service Center (SSC) will continue to be used by current students for activities related to the 2023 Winter and 2024 Summer sessions and Workday Student will gradually become the primary interface for the functions that students currently perform in SSC starting with the activities for 2024 Winter session.

For a period of time - known as the Coexistence Period - both systems will be in use. During coexistence, students will need to conduct some tasks in both Workday Student and the SSC. These include changes to student personal information that do not require staff approval. For example, if a student wishes to add or update their preferred name, they will need to change it in both systems themselves.

What students need to do before registration

Ahead of the registration period, students have been asked to complete tasks in Workday Student including entering, validating or updating their:

  1. Personal information including pronouns, gender, and preferred name
  2. Third-party authorization 
  3. Direct deposit details
  4. Academic record, including year level (formerly class standing) and program of study

As always, UBC aims for excellence in supporting our students. As we transition to this new system, it is important to remember that we are all new to using Workday Student, so some patience will be required. Change is not always easy. Understandably, response times to inquiries may not be as quick as they normally would be.

With any large system change, some inaccuracies in data are to be expected. Please know that the IRP Student team and Enrolment Services are working diligently to address these issues. Your understanding, patience, and unwavering support for our students during this transition are highly appreciated. If you encounter data quality issues (or if you are assisting a student in this regard) you can submit a support ticket.
