Explaining the Launch 2 Phased Approach

Launch 2 of Workday Student, UBC’s new student information system, will being on February 26, 2024. Launch 2 will be initiated using a phased approach, and will include capabilities that support students to study, advance, and graduate from UBC. The transition to Workday Student will provide UBC with the foundation for a modern student experience that is adaptable and can evolve to meet the needs of the institution for years to come. February 26: Begin Launch 2 

Launch 2 of Workday Student will be LIVE on February 26, 2024. For most users, there will be no action required on February 26. Launch 1 users will continue using Workday Student and will retain access to Launch 1 Workday Student applications.  

February 23 – March 10: Data Catch Up Period 

With any major transition to a new system, a set period of time is required to ensure all data from the existing system is fully transferred to the new one – this period is referred to as the Data Catch-up Period. The Data Catch-up Period will begin February 23, 2024, and the data in Workday is expected to be complete, up to date, and ready to be used by our UBC Community by March 11, 2024.  

Starting February 26, users will be able to view student-related tasks in Workday, however, data from Classic SIS will not be synced completely until March 11. Therefore, it is critical that any student-related transactions be delayed until after this date. Some users will be required to log 'dual entry' changes to be actioned in Workday between March 4 and March 8. 

March 11: Workday Student is ready for all faculty and staff users 

As of March 11, all faculty and staff can perform Workday Student tasks based on their individual security roles. This phase will also be when various Ecosystem Applications will be deployed and accessible by faculty and staff. The new system will be continuously monitored for bugs and will undergo ongoing refinement in preparation for students gaining access in May of 2024. Additionally, training for Launch 2 capabilities will continue to be delivered. Learn more about training here.  

May 21: Workday Student is ready for students 

New and current students will gain access to Workday Student on May 21, 2024, for activities related to the 2024 Winter team (2024W). Student Readiness planning is underway and will be shared once details are finalized. We encourage users to continue to check the IRP Student website for updates. 

It is important to note that Classic SIS will still be in use by students, faculty, and staff users for activities related to 2023W and 2024S Sessions. Learn more about Coexistence here
