We are inviting all UBC faculty and staff to participate in the Integrated Renewal Program ‒ Student’s (IRP Student) third Institutional Readiness Assessment (IRA).

Following the completion of Launch 1 of Workday Student in October 2023, IRA #3 will help measure progress toward efforts to prepare the UBC community and capture any changes in readiness levels as we approach Launch 2 in February 2024. A greater emphasis will also be placed on whether the community has the knowledge and ability to implement new ways of working. 

Please take 10 minutes of your time to share your feedback. This survey will close on February 1, 2024.

About IRP Student

With the implementation of Workday Student, the Integrated Renewal Program ‒ Student (IRP Student) will transform the way UBC supports learning and research. The transition to Workday Student is one of the most significant technology changes to date for UBC, with impacts to staff, faculty, and students. Workday Student will be the anchor system replacing Classic Student Information System (SIS) and will provide the foundation for a modern educational experience at UBC. 

IRP Student is dedicated to supporting our community members through this academic and organizational transition. As such, IRP Student has established a process for assessing how prepared the UBC community is to respond to the coming changes and adapt to any new ways of working. This process – known as the “Institutional Readiness Assessment” - includes a series of surveys, the first of which was undertaken in late 2022 and the second in Spring 2023.

Results and actions from previous Institutional Readiness Assessment

Following IRA #1 in late 2022, another sampling of highly impacted users was invited to complete IRA #2 in early 2023. Further, an open link was shared for general participation. Overall, 900 members of the UBC community, from both the Vancouver and Okanagan campuses, participated and provided feedback. 

The IRA #1 versus IRA #2 results showed similar quantitative results, while when looking at the qualitative results, one could see that for IRA #1 the dominant theme was a general desire to understand more about Workday Student. IRA #2, however, exhibited a shift from wanting more information about the system, to needing the knowledge and skills in order to work within the new system’s capabilities. One may conclude that our community moved from having sufficient awareness and knowledge about what Workday Student is to now wanting to learn more about how to use the system.  

IRP Student has responded to previous IRA Survey results through a revised approach to training. The training timeline for Launch 2 adheres to the academic cycle and will be prioritized based on when users will first use Workday. Training will be guided by community needs and preferences and will provide hands-on education whenever possible for faculty and staff. View the training timeline here.

IRP Student will continue to measure progress in preparing the UBC community as well as monitor changes in the university's readiness levels as we move through Launch 2 and beyond.
