The Integrated Renewal Program – Student (IRP Student) is ending on November 30, 2024, and the next phase of UBC’s Workday Student journey will include initiatives to create continuous improvements and enhancements.  

In December 2024, the IRP Student Completion project will commence and will focus on completing the scope of work that was in the initial plan for IRP Student and approved by the Board but could not be finished primarily due to timelines and product maturity.  

The scope for Student Completion was determined by several factors, including:  

  • Continuous tracking of issues and gaps 
  • Ongoing conversations with Workday 
  • Focused community engagements and feedback opportunities 
  • Learnings through Registration Live Support channel 
  • Student feedback opportunities  

IRP Student Completion Work Packages 

  1. The Cleanup and Completion work package will focus on cleaning up and completing critical functions and solutions in the Workday Student system  
  2. The Workday Student Product Releases Catchup is focusing on four Workday product releases that, due to the current focus on addressing gaps, will be required after the program comes to an end 
  3. Workday Student Critical/Major Gaps will review critical or major functionality gaps identified during IRP Student  
  4. The fourth work package is the Completion of work for Learner Financial Support capabilities that were originally in scope for IRP Student but deferred due to the required focus on the current state to ensure business continuity 
  5. The Academic Foundation's focus is on Supporting operational data entry and management of Senate-approved curricular changes, tuition fee rules, EIBs/Boomerangs/Cohorts and Support ongoing sustainment for data and functions that fall under the definition of Academic Foundation.  
  6. And the Infrastructure Requirement work package which will support enterprise-wide data governance, access, and identity.

Operational Sustainment of Workday Student and Continued Support 

It is important that with the adoption of Workday Student, disruptions to business continuity are minimized as much as possible. To meet this goal, Sustainment Teams will be in place to ensure technical and operational continuation.   

The sustainment teams include Enrolment Services (ES), the Integrated Service Center (ISC), and UBC IT. 

Continue reaching out to the same sources of support currently available: 

  • For faculty and staff who require Workday Student technical or application support, continue to request Workday Student Support through the self-service portal or by phone. For urgent issues or need to quickly follow up on a submitted request, contact the ISC Service Centre by phone: 604-222-8200 (UBC Vancouver) or 250-807-8163 (UBC Okanagan).  
  • For staff and faculty who require support with business processes and policies – continue to reach out to ES.  
  • For faculty and staff who require technical support not related to Workday, contact UBC IT.  
  • For students with inquiries or need assistance regarding the transition to Workday Student, they are encouraged to continue to reach out to the units or advisors they would normally receive support from. 
  • Continue to contact your Primary Transition Leads until November 30, 2024. 

We recognize that sometimes it will not be clear who to reach out to, and we will continue to work together and evolve with the system, and adjust support avenues as needed.
