Workday Student Launch 1 - Usage Freezes and Business Impacts

The transition to Workday Student will provide UBC with the foundation for a modern student experience that is adaptable and can evolve to meet the needs of the institution for years to come. Workday Student will launch in phases, with Launch 1 on October 4, 2023, and Launch 2 in February 2024.

As part of transitioning to Workday Student, there will be cutover periods which consist of usage freezes and will have business impacts on our UBC Community. To learn more about the specific business impacts, please visit the cutover web page.

The term “cutover” refers to the planning and execution of activities required to successfully transition the Classic SIS system to Workday Student. To ensure cutover is successful, both systems will undergo temporary Usage Freezes. During the Usage Freeze dates no changes can be made to either system. The Freezes are scheduled to cause minimal disruption to day-to-day operations.

Launch 1 Usage Freeze & Cutover Timeline

There will be separate cutover periods for Launch 1 and Launch 2. For the Launch 1 cutover period, there are usage freezes scheduled between September 22, 2023, and October 3, 2023. IRP Student is working with impacted UBC stakeholders, to confirm technical cutover tasks are completed in a timely manner.

On October 4, 2023, cutover and all previous temporary system Usage Freezes end and Workday Student will be live for impacted users that perform critical tasks related to admitting students to the University. To find out whether you are impacted by Launch 1, click here.

On October 5, 2023, Hypercare for Launch 1 officially starts. More information will be shared soon. Details and dates for Launch 2 cutover and Usage Freezes will be shared closer to Launch 2.
