Last week, UBC students were notified of their access to Workday Student via email. Moving to this new system is a big change for UBC and for our students.

Understandably, you will have questions about why we are making this change, how to resolve issues you are encountering, and where you can go for support.  

Below are the most frequently asked questions we’ve seen from students this week. 

What is Workday Student? 

Workday Student is a new student information system replacing the Student Service Centre (SSC) at UBC for the 2024/25 academic year. As a UBC student, you’ll use Workday Student to complete essential tasks like registering for courses, updating your personal information, paying your tuition, and downloading important documents. 

The Student Service Centre (SSC) is available for registration in courses for the 2024 Summer Session (May to August). Course registration for the 2024/25 academic year takes place in Workday Student. 2024 Winter registration begins on June 4.

Why is UBC moving to Workday Student? 

A renewed, reliable, modern student information system is critical to delivering UBC’s academic mission and will add much-needed security and stability enhancements to the systems involved. Our existing system (SSC) is 35+ years old and can no longer meet UBC’s evolving needs.

How do I access Workday Student?​ 

Log in to Workday at myworkday.ubc.ca with your Campus-wide Login (CWL). 

If you don’t have a Student CWL, you can create one after accepting your offer and receiving a student number. You can set up a Student CWL through UBC IT. If you do not have Multi-factor Authentication set up, follow these instructions online, then log into Workday.

Where can I find course information? 

Course Scheduling and Registration 

Log in to Workday to find course schedule information for 2024W. All course planning and registration will be done in Workday Student not through the courses.students.ubc.ca site. 

Standard Timetable Information   

Standard Timetables are not accessible at this time but will be accessible early to mid-week on the week of May 27 on courses.students.ubc.ca for planning purposes. Registration will occur in Workday Student for these courses.

Which tasks do I need to complete ahead of registration? 

Ahead of the registration period, students have been asked to complete tasks in Workday Student including reviewing, entering, validating or updating their:

  1. Personal information including pronouns, gender, and preferred name
  2. Third-party authorization 
  3. Direct deposit details
  4. Academic record, including year level (formerly class standing) and program of study

What if I see inaccuracies with my student record? 

Current students' courses, credits, and grades have been moved to Workday Student. A number of discrepancies in these records have been identified and are being fixed. Impacted students have been notified of any discrepancies directly. When viewing your academic record in Workday Student, you may notice inaccuracies or missing information such as: 

  • Missing course registrations 
  • Missing or inaccurate letter grade 
  • Missing transfer credit details 
  • Inaccurate program of study 

If you notice inaccuracies in your Workday Student record and you were NOT notified of any issues, please reach out to Enrolment Services. 

Can I change my Workday profile photo? 

When you log into Workday, you will notice that your student picture is your profile photo in Workday. To ensure your photo in Workday complies with UBC’s student system requirements, profile photos were uploaded from the UBC Card system, and you are not able to add, delete, or change your profile photo in Workday.
