The transition to Workday Student is one of the most significant changes to date for UBC, with impacts to staff, faculty, and students. Workday Student is being launched in phases. Launch 1 occurred in October 2023, and Launch 2 is on track for February 2024.

It is important for our community to prepare as much as possible for the upcoming changes to a new system and ways of working. Training will resume in November 2023. You can find exact dates for upcoming sessions once they become available here. The priority is to ensure our community members receive training at the right time and in the right format.

The training timeline for Launch 2 will adhere to the academic cycle and will be prioritized based on when users will first gain access to Workday. Training will be guided by community needs and preferences and will provide hands-on education whenever possible for faculty and staff. Scheduling of training will aim to provide Faculties, Departments, and units with ample time to determine how they will use the newly-trained functionality and incorporate it into their operations.

Examples of training tools that will be utilized are Change Bundles, Call-In Sessions, Demos, and Videos. Simultaneous training, across several areas and sessions, will occur throughout the entire Launch 2 training period. As such, users can expect to build basic knowledge in one area while receiving hands-on training to build expertise in another.

The focus of Launch 2 training will be on the most common tasks, processes, and scenarios for staff and faculty. The design and delivery of training will follow a consistent, stepped approach. The IRP Student Training team will first aim to build a foundation of basic knowledge in each topic area. The next step is to build expertise through hands-on training for the community to complete the tasks needed for their business operations. Lastly, the Training team intends to provide learning support as well as short-term and long-term artifacts that the community finds interesting and useful.

Training is designed for staff and faculty who are current users of the Student Information System and will be affected by the transition to Workday Student. Training to prepare students for the transition to Workday Student in May 2024 is in development and more information will be shared at a later date.
