Workday Student: changes for UBC faculty and instructors

Workday Student, UBC’s new student information system, is launched and in use for UBC staff, faculty, and students. With this transition, our Faculty Service Centre (FSC) is being replaced by Workday Student and its point solutions, including Appian. This is a crucial step forward in enhancing our student experience and administrative efficiency. 

A renewed, reliable, modern student information system is critical to delivering UBC’s academic mission and will add much-needed security and stability enhancements to the systems involved. Our existing system (FSC) is 35+ years old and can no longer meet UBC’s evolving needs.  

Access to Workday Student

You can login to Workday Student using your CWL username and password.

Key changes for faculty and instructors 

The following tasks will transition to new applications, all accessible within Workday Student via the Teaching App (CWL required): 

  • Class lists with student photos and grade changes: access directly through Workday. 
  • Entering final grades: Workday Student - Final Grade Submission Tool (FGST).
  • Communicating with students: continue using Canvas and/or Workday Student - Student Communications Tool (SCT).

Timeline 

Prior to June 2024: no need to use Workday Student for instruction-related activities until after student registration begins for the 2024W session.

From beginning of registration: continue using SISC and the FSC for 2023W and 2024S session-related tasks.

September 2024 onwards: Workday Student and FGST used for grade submissions and changes; SCT and Canvas can both be used to email students.

Training and support 

User Guides: Step-by-step guides on how to use Workday, FGST, and SCT will be published in June on the Faculty/Instructor Training Hub (CWL required).

Drop-In Sessions: Six drop-in sessions for Q+A and demos will be scheduled for August & September.
