Issues affecting Credit Exclusion/Anti-Requisite Rules in Workday

June 21, 2024

Several unanticipated impacts of Credit Exclusion/Anti-Requisite functionality have been identified causing errors in Registrations for students registering to repeat a course for a higher standing.

What is the Issue?

Credit Exclusion statements on the course description were set up as an Anti-Requisite rule on the course in Workday.  The rules as written are self-referencing. This has resulted in:

  • Students showing as ‘Not Eligible’ in courses once they have registered.
  • Students are unable to use the ‘Swap’ button to change their registered selections of a course.
  • Students not being able to re-take a course for higher standing without administrative support.

As a result, effective June 20 the Course Exclusion/Anti-Requisite rules have been removed from Course Eligibility rules in Workday. Credit Exclusion rules will no longer be checked at time of Registration and Credit Exclusion rules will be enforced on the Academic Progress Report (APR).

Who is Impacted?

Graduate and Undergraduate Students:

  • All students registering to repeat a course for a higher standing. Applies to all courses with a Credit Exclusion/Anti-Requisite rule.
  • All students using the ‘Swap’ button in Workday to switch sections in their registered courses.

Staff:

  • Any staff that use the ‘Invalid Pre-Requisite Report’ in Workday.
  • Any staff that assist students with registration.

What is the impact?

1,533 courses that have anti-requisite rules as part of the course eligibility rule are currently impacted

Students:

  • Students will need to check their Academic Progress Report (APR) following an overnight refresh to see if any of their registered courses are in the Unused registrations.
  • Will be unable to use the ‘Swap’ button to switch sections in their registered courses.

Staff:

  • Will be unable to use the ‘Invalid Pre-Requisite’ Report in Workday – all students will appear as ‘not eligible’.
  • Will need to take manual intervention to assist students wanting to repeat course registrations for higher standing.
  • Programs that do not use the Academic Progress Report (APR) will need to monitor credit exclusions manually.

What is the status?

Teams have identified options for an immediate solution to address the impacts for current registration and testing is underway. Progress updates will be provided here as available.   A longer-term solution is being planned for future registration periods.

Additional Details

Courses that have had the anti-requisite removed are available in the Course Eligibility Rule Change Log https://confluence.it.ubc.ca/pages/editpage.action?pageId=349097242.
