Issue Affecting 24S Registration in SISC - Missing High School (HS) Courses

This is being shared for information only. An issue with high school records was identified and resolved. The issue was high school records and previous institutions were deleted after students were matriculated from Admissions into Classic SIS.

What was the Issue?  

Due to a design flaw, historic high school (HS) records on SIS were deleted when a matriculated student data transfer record was received from Admissions for 2023W or 2024S. On Jan 17, ~20,000 historic matriculations were sent to SIS, which increased the volume of affected students.  

Data from the Admissions system did not include the records manually added on SISC screens for high school records and previous institutions. Those manually entered records were deleted in SIS. 

Who would have been impacted?  

Students who previously had a record in SIS and who then matriculated for 2023W or 2024S. 

What would have been the impact?  

Students that needed to pass co-req/pre-req checks on high school courses would not have been able to proceed with registration. This would have included any 2024 Summer students.  Note: Grad Students were not likely affected as they do not typically require high school records.  

Missing HS records also impact advising but all records were available on AAP (System of Record). 

Sessional Evaluation would also have been impacted but not until May. This would have been required to create place-holder entries for 2024W student although SIS is not the System or Record for those students. 

What student data would have been impacted?  

Data for returning students who applied through the Admissions system and accepted an offer for 24S. This is important because a record is needed for them in SISC to enable the student to register for 24S. 

What is the issue status?  

The re-send of ~12,000 records from Admissions successfully restored missing high school records for 2024 Summer students. Students will be able to register correctly on their Open Date (higher year levels starting Feb 26, but mostly affects 1st year students starting Feb 29). 

The re-loaded records resulted in deleted Comments and Notes (due to a pre-existing issue). A code fix has been released to prevent deletion of Comments going forward. Most deleted Comments have been restored from previous SIS snapshots. 

The re-loaded records also resulted in ~200 Double Eligibilities being created (due to another preexisting issue). These have been manually corrected by business staff in Vancouver and Okanagan. A code fix has been released to prevent this error going forward. 

When will it be resolved? 

The underlying issue has been resolved. All high school data has been restored. All students will be able to register.
