Understanding IRP Student – Transfer Credit

The Integrated Renewal Program – Student (IRP Student) has numerous focus areas – following the student journey from application to graduation.  This series aims to explain each area, its unique requirements, and our designed solutions in terms you, our UBC community, will understand.    

Workday Student will replace UBC’s Student Information System (SIS). It will be the foundation for the renewed student information ecosystem, integrating with external systems - both existing and new - that are required to conduct operations at UBC.  

Transfer Credit in a Workday Student context encompasses a student’s previous study that may be used towards a new credential at UBC. This can include transfer credits taken at post-secondary institutions and university level courses taken while in high school. 

Transfer Credit from a Post-Secondary Institution  

Transfer Credit is a standing granted to a student that denotes credit received from a course completed and transferred from another institution. Transfer Credit is assigned to students at the time of admission or through an exchange program or a letter of permission. It can be used to meet course pre-requisites, academic requirements, and year level promotion. Credit earned at any UBC campus is not considered transfer credit and is therefore not handled through transfer credit processes. 

Prior to admission, transfer credit for courses completed outside of UBC will be assigned through the Admissions System. This system will manage and add the rules required for transfer credit articulation (i.e., the formal process of determining if course work is eligible for transfer credit). After a student accepts their offer of admission, assigned transfer credits will be added to their record in Workday Student. Transfer credits a student earns through exchange or a letter of permission during their time at UBC will be assigned manually into Workday. Student requests for exchange or a letter of permission and associated course credits will happen outside of Workday.  

First year credit from High School 

University level courses taken during high school, such as Advanced Placement, International Baccalaureate, and A-Level courses will be managed and assigned within Workday after a student has accepted their offer of admission to UBC.

*Reflecting on our experience so far in working with Workday and seeing how our design is shaping up, we realize that we have to embrace change and be confident in our ability to adapt. Workday Student, along with IRP Student’s functional requirements, are evolving quickly and this could mean that we may have to adapt our approach throughout the project timeline.
