Governance & Team
The success of the Integrated Renewal Program relies on the participation and input from across the university community. The Integrated Renewal Program governance is aligned with UBC’s existing governance to ensure decisions related to budget, resourcing and program scope adhere to university policies, risk management, financial controls and compliance.
Participation in the program governance from the Vancouver and Okanagan campuses, UBC Executive, UBC IT, Enrolment Services, Human Resources, Finance, faculties and administrative units are vital to effective governance. Active participation and engagement of faculty members, administrative staff, student representatives, and academic and administrative committees is a foundation to successfully transitioning to the desired future state.
Led by the Vice-President, Finance & Operations, Peter Smailes, the Integrated Renewal Program is committed to engaging the university community in the program. Executive Sponsors provide direction and decisions to achieve the program vision and benefits in alignment with UBC’s Strategic Plan.

The Steering Committee is the primary governing body and decision-making group for the Integrated Renewal Program. The Steering Committee is comprised of a representative group of leadership from each workstream and representatives from IT, Internal Audit and our implementation partners, Workday and Deloitte. Acting as Change Champions, the Steering Committee actively seeks the university’s support for the Integrated Renewal Program’s vision and objectives, and for the work involved in these achievements.

Student, Human Resources & Finance Transformation Teams
The Student, HR and Finance Transformation teams are responsible for engaging a broad range of UBC stakeholders to co-create the future, architect and configure Workday to suit UBC’s needs and identify transformative opportunities to improve service delivery for student, faculty and staff.
Solution Design & Delivery (SD&D) Team
The SD&D team is responsible for the data migration and data integration within the UBC technology ecosystem. This includes operational reporting and security.
Organizational Change Management (OCM) Team
The OCM team is responsible for developing and leading strategies that ensure stakeholders (students, faculty and staff) are ready and able to adopt new business processes and the Workday product. OCM develops tools, and resources related to engagement, training, communications, and end user readiness to support a smooth transition to new ways of working in the future.
Program Management Office (PMO)
The PMO is responsible for keeping the program on track in terms of budget, resourcing, timelines and deliverables. This team plays a critical role in managing risk, interdependencies and close collaboration with the functional areas and OCM to align engagement activities with Program and Workday deployment timelines.
