Transitioning from Classic SIS to Workday Student
July 30, 2024As the Integrated Renewal Program - Student (IRP Student) enters its final phase, UBC will fully complete the transition from the Classic Student Information System (SIS) to Workday Student as its primary System of Record for student data. This significant change will impact all UBC students, faculty, and staff, as well as various UBC systems and processes. Below are the key updates and important dates you should be aware of.
Key Dates & Changes
September 1, 2024:
Access to several portals and applications including the Student Information Service Centre (SISC), Student Service Centre (SSC), and Faculty Service Centre (FSC) will be updated.
What’s Changing?
For all users:

Course Schedule website for Summer 2024 and Prior: Access will end on September 1, 2024.
For students:

Student Service Centre (SSC):

No access from September 1, 2024.

Last day for tuition payments via SSC for 2024 Summer or prior sessions is August 14, 2024. Students will use Workday Student for tuition payments for Winter 2024 Session onwards. Information and tutorials for students can be found here:

Degree Navigator: Access will end on September 1, 2024. Students will be encouraged to print a copy of their Degree Navigator report prior to September 1.
For instructors:

Faculty Service Centre (FSC): Will change to read-only mode on September 1, 2024, until the end of June 2025 when all access will be removed. Instructors TAs should familiarize themselves with the new processes in Workday Student and the Teaching App by visiting the Training Hub for Instructors.

SISC: read-only access from September 1, 2024, for existing users based on functionality they currently access. Read-only access will be removed at the end of June 2025. New UBC staff will not be onboarded to SISC.

Access to other applications from September 1, 2024:

Maintenance and Security Centre (MSC): Edit access for some Enrolment Services staff only.

Merchant Management System (MMS): Edit access for some Academic Systems staff only.

Scheduling and Curriculum Management Centre (SCMC): read-only access for some Enrolment Services staff only.

Degree Navigator: read-only access for current users through the end of June 2025.

TeachEval: read-only access for current users only through the end of June 2025.

Web Vote (Admin): read-only access for select Enrolment Services - Senate Secratariat staff only.

Web Vote (Voters): No access

Consolidated Billing Module (CBM Admin): edit access for some administrators

Student Financial Module (SFM): No access

Reports:

As of September 1, 2024, current reporting tools like Dynamic Search Engine (DSE), launched within SISC, and Crystal Reports will be replaced by Workday Student, its point solutions, and supplemental platforms such as Tableau and the University Data Platform (UDaP).
